Description

Basic guide for configuring the ability to email from Control. Control allows two methods (email delivery option) of emailing. The first utilizes Microsoft Outlook 2000 or greater to send email. The second method is emailing using the Internal email engine within Control.

Every employee (user account) within Control can have their own email address, email settings, etc. If you want to set the global setting for all users then this is done within System Setup.

If you wish to later override the global setting for a particular employee (user) then this can be done by following the same instructions below however you will need to adjust the settings under Setup > User Options. This will need to be done for each employee (user) and requires that the settings be adjusted from the actual computer the employee (user) is logged in to currently.

NOTE: If the customer's email provider or email server requires SSL encryption, Internal mail cannot be used. The User will have to install a full version of Outlook on any machines that will be sending mail. Outlook Express or Windows Mail will not work.

There is not any risk to the program associated with configuring these options.

To set the global setting:

1. Open Control

1. Click on Setup > System Setup.

1. CLick on Email Options.

1. Click on the Edit button on the right side toolbar.

1. Click on the drop down list for Email delivery option: and select Outlook.

1. Click on the Save button on the right side toolbar.

1. You will need you Outgoing Mail Server and Incoming Mail Server information.
   • To obtain this information, please contact your Internet Service Provider (ISP).
   • Inform the Tech Support of your ISP that you are looking to set up your email and need the following information:
     • Incoming Mail Server (POP3)
     • Outgoing Mail Server (SMTP)
     • Outgoing Mail Server Port (SMTP)
     • Email Username
     • Email Password
     • Email Address
     • Does the SMTP Server require Authentication.
   • Write down all the information they provide to you.

1. Open Control

1. Click on Setup > System Setup.

1. CLick on Email Options.

1. Click on the Edit button on the right side toolbar.

1. Click on the drop down list for Email delivery option: and select Internal.

1. Fill in the your Email Address.

1. Fill in the SMTP Address. This is the Outgoing Mail Server (SMTP) address provided by your ISP.

1. Fill in the Username given by your ISP.

1. Fill in the Password given by your ISP.

1. If the ISP provided you a Outgoing Mail Server Port other than 25 please change the SMTP port setting accordingly then check the Different SMTP Port Required checkbox.

1. Check the Authentication required checkbox if your ISP requires it.

1. Click on the Save button on the right side toolbar

1. Click the Send Test Email button.

1. If you get an Email Sent pop-up, click OK. You are now done configuring your email, if not proceed to the next set of steps.

1. If you were unable to send email, Uncheck the Authentication Requiredcheckbox.

1. Click the Send Test Email button.

1. If you get an Email Sent pop-up, click OK. You are now done configuring your email, if not proceed to the next set of steps.

1. If you were unable to send email, click the Editbutton on the right side toolbar.

1. Check the option Email server requires checking email before sending.

1. Fill in the POP3 address which is the Incoming Mail Server (POP3) your ISP provided.

1. If the ISP provided you a POP3 port other than 110, check the option Different POP3 Port Required checkbox and change to the POP3 port to the proper number.

1. Click on the Save button on the right side toolbar

1. Click the Send Test Email.

1. If you get Email Sent pop-up, click OK.

1. If not, you may have to set the email to use Outlook as some mail servers provided by various ISP's have additional security restrictions to prevent some programs from sending email. These security restrictions are meant to reduce the likelihood of spam being sent.

NOTE: If attachments send but are displayed as source code, verify the 'MIME Content Type' in System Setup>Email Options has multipart/mixed set. This setting should be set even if only individual employee emails are being used without a global email set.
