Import Issues
Due to changes with the new QuickBooks 2020 version, customers are experiencing issues importing IIF files exported from Control.
- We are working with our development team to understand these issues with QuickBooks 2020 to come up with a long term solution.
- The short term solution will be to manually post the General Journal entry into QuickBooks by viewing the GL Export for QuickBooks report in a PDF format.
- This wiki will cover how to save the GL Export for QuickBooks as a PDF file instead of an IIF file and also go over how to post a General Journal Entry in QuickBooks.
How to save the GL Export for QuickBooks as a PDF file
- If you use QuickReports to close the day, please follow these steps to change the file type.
- Go to Setup> Reporting Setup
- Expand folder for “Close Day - Simple” (Note: If you use a different option under QuickReports, be sure to expand the corresponding folder.)
- Select “GL Export for QuickBooks” (Note: If “Show On Menu” is unchecked, select “GL Export for QuickBooks Detailed”)
- Click “Edit” on the right action toolbar
- Click on the “Options” tab
- Click “Show Detail” under Save
- Change File Type from “QuickBooks” to “Adobe Acrobat (PDF)”
- Click “Save” on the right action toolbar
- Going forward your GL Export for QuickBooks report will now be saved as a PDF instead of an IIF file type so you are able to view the report.
- If you do not use QuickReports and simply save the GL Export for QuickBooks, you will follow the same instructions to change the File Type and this can be done on the Report Criteria window. This is the window you see before previewing or saving the report. Once the File Type is changed, be sure to click “Save these settings as default” so you do not have to change the File Type each time.
Posting General Journal Entry in QuickBooks
- Normally you would import the GL Export for QuickBooks IIF file into QuickBooks and that would create the General Journal Entry for you. Since we no longer can do the import, you will need to manually create this General Journal Entry.
- First preview the GL Export for QuickBooks report that you saved as a PDF file. By default this is saved in the Report Export folder but you may have chosen a different location.
- The Account names listed on this report should match exactly with the Account names in QuickBooks.
- Now in QuickBooks, click on “Company” on the top menu
- Select “Make General Journal Entries”
- In this screen be sure to select a date if today's date is not applicable
- Now enter in or select your Account that is listed on the GL Export for QuickBooks PDF
- Enter in the corresponding amount shown on the PDF.
- Negative Amounts will be entered in as Credits.
- Positive Amounts will be entered in as Debit.
- Keep entering in the accounts until they are all accounted for. In order to save this General Journal Entry, the entry must balance and should net zero if you add up your Debit and Credits.
- Once that is done, select “Save & Close” at the bottom of the screen
- If you had payments within the last closeout, those payments will appear in your Make Deposit screen just like when you do the import
